JOHNAN Corporation Personal Information Protection Policy

JOHNAN Corporation and domestic and overseas subsidiaries in the JOHNAN Group (hereinafter collectively referred to as "we") hereby establishes the Personal Information Protection Policy (hereinafter referred to as “this Policy”) as follows and engages as an organizational basis in efforts to ensure the proper handling of the personal information.

1. Compliance with Related Laws, Guidelines and etc.

We strictly comply with the Act on the Protection of Personal Information and other laws and regulations, and guidelines established by the government concerning the handling of personal information (hereinafter referred to as the “Related Laws and Regulations, etc.”), and this Policy. In addition, we continuously review and improve our efforts to ensure the proper handling of personal information.

2. Security Control Measures for the Personal Information

In order for the prevention of the leakage, loss, or damage of the personal information and the other security control measures therefor, we take proper security control measures including to carry out the necessary and appropriate supervision of our employees and contractors.

3. Proper Acquisition of the Personal Information

We acquire the personal information through proper means, and do not acquire it through false or other improper means or use it through means that threaten to encourage or induce any illegal or unjust act.

4. Purpose of Use of the Personal Information

We use the personal information for the following purposes when planning, designing, developing, manufacturing, repairing, providing after-sales services in connection with and selling our various kinds of products, parts and the like, robot teaching, providing internet-based services, dispatching workers, and conducting business activities incidental to the foregoing activities. We do not use personal information beyond the scope necessary for the achievement of this purpose of use without prior consent of the principal unless otherwise permitted by law:

  • To provide products and services handled by us, and to make contact with regard to other transactions;
  • To implement the agreement concluded by us, or make contact with regard to the conclusion of the agreement;
  • To introduce products and services handled or to be handled by us;
  • To respond to inquiries
  • To introduce seminars, campaigns, and etc. hosted by us;
  • To take various surveys including questionnaires and etc. and make analysis for developing products and improving services;
  • To grasp the preferences and tastes of visitors to our website by collating their personal information with their browsing history data.
  • To provide recruitment information, and make contact with regard to the selection process
  • For the purpose for which prior consent is obtained; and
  • For other purposes incidental to the above-mentioned purposes of use.

6. Provision of the Personal Information to a Third Party

Unless otherwise permitted by law, we do not provide the personal information to a third party without prior consent of the principal.

7. Disclosure of the Personal Information, and etc.

When we receive from the principal of the personal information in accordance with our prescribed procedures the request for notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, elimination, or suspension of provision to a third party with respect to the personal information held by us, we promptly and appropriately respond to such request in accordance with the provisions of laws and regulations after confirming that the requesting person is the principal of the personal information. 8. Production of Pseudonymously Processed Information or Anonymously Processed Information

When producing pseudonymously processed information or anonymously processed information, we process, manage, and properly handle personal information in compliance with the provisions of the Related Laws and Regulations, etc. In addition, any matters required to be made public at the time of producing, acquiring, providing, or otherwise dealing with pseudonymously processed information or anonymously processed information will be made public by posting in this Policy or by other appropriate means.

9. Use of Google Analytics and MRC

We are using Google Analytics, services provided by Google LLC, and MRC, services provided by Markerise, Inc. These services are utilizing Cookie function. Cookie means files sent or received between a computer terminal used by readers browsing the website (hereinafter referred to as "Terminal") in order to recognize the Terminal and analyze browsing status of website. Cookie function may invalidate by browser settings of the Terminal. We will not collect nor receive from Google LLC information which may enable us to identify the personal by using Google Analytics. We will not use information obtained via using Google Analytics for any purposes other than figuring out the readers' use of our website, improving our services, and providing information to the Terminal. On the other hand, we are entrusting management of the personal information to Markerise, Inc. according to the Section 2 of this Policy, and if the reader browsing our website is person whose personal information is retained by us, we may identify the person using the Terminal on the certain conditions by using MRC. In such a case, we will recognize the Terminal with becoming aware that such Terminal is used by the person identified by us, and analyze the browsing status. Please see this page for detail of MRC. We will not use information obtained via using MRC for any purposes other than figuring out the readers' use of our website, improving our services, and providing information to the Terminal. 12. Revision of this Policy

Except as required by laws and regulations, we may revise this policy in response to revisions of laws and regulations, or as necessary. When we revise this policy, we will announce the revised policy on our website. And you shall be deemed to have accepted the revised policy if you do not raise any objection for the revised policy within one month after the announcement.

Procedures for Requesting Disclosure, Notice of Purpose of Use, Correction, Suspension of Use, and etc. of the Personal Information

1. Request for Disclosure or Notification of the Purpose of Use of the Personal Information

If you request disclosure or notification of purpose of use of the personal information, please send a mail enclosing (1) our prescribed request form, (2) documents necessary for identifying the principal, and (3) a postage stamp in an amount equivalent to the fee to the following counter. We will give a response either in writing by post to the address of the requesting person specified in our prescribed request form or by way of providing electromagnetic records after confirming that there are no deficiencies in the mailed documents and that the request is made in accordance with laws and regulations.

(2) Documents necessary for identifying the principal

A) If the request is filed by the principal, one of the following qualification documents

1.Copy of driving license;
2.Copy of passport;
3.Copy of health insurance card;
4.Copy of residence card;
5.Resident certificate (within 3 months of preparation; hereinafter the same applies for official documents);
6.Excerpt of the family register;
7.Seal certification.

  • Please erase the description of the registered domicile in an unreadable manner.
B) If the request is filed by an agent, the following documents for confirming the authority as an agent in addition to the qualification documents of the agent (above subsection (A) applies):

1.In the case of a statutory agent, a document confirming the authority of statutory agent (an excerpt of the family register or the resident certificate containing the relationship);
2.In the case of a person other than a statutory agent, a power of attorney (please use  this ), and a seal certification of the principal.

(3) Fees

Postage stamps of ¥500.

2. Request for Correction, Suspension of Use, or etc. of the Personal Information

If you request correction or etc. of the personal information, please send a mail enclosing (1) our prescribed request form and (2) documents necessary for identifying the principal to the counter specified in the section 1 above. We will give a written response addressed to the address of the requesting person specified in our prescribed request form after confirming that there are no deficiencies in the mailed documents and that the request is made in accordance with laws and regulations.
